Benefits
Health Savings Accounts (HSA) are available through Calvin's high deductible health plans (Maroon and Gold). You may update your contributors at anytime by following these instructions:
- Log into Workday and type in "Change Benefits" in the Workday search bar.
- Click on the change reason "HSA Adjustment"
- Scroll down and enter the "Benefit Event Date"
- Click "Submit"
- Then you will see "Up Next, Change Benefit for employee name". Click "Open".
- Then click "Let's Get Started"
- Under your Health Savings Account, click "Mange"
- Click on "Select" and then click "Confirm and Continue"
- Make any adjustments needed in the field provided and click "Save"
- Click "Review and Sign" and scroll to the bottom to check the "I Accept" box.
- Add a comment explaining what change you made.
- Click "Submit"
Any changes you make will be reflected on your next paycheck.
Qualifying life events allow you to make changes to your benefits outside of open enrollment. These changes must be made within 30 days of the event. Here are some examples:
- Birth / Adoption / Legal Custody of Child
- Death of Dependent
- Divorce
- Loss of Coverage (yourself or dependent)
- Marriage
- Transfer to another insurance (yourself or dependent)
If you have a qualifying life event, you have 30 days to make changes to your benefits if needed. Here is how you do this:
- Log into Workday
- Type in "Change Benefits" in the Workday search bar.
- Choose the appropriate reason for the change.
- Enter the date of the life event/date coverage must start
- Upload a document that shows proof of the qualifying life event (marriage license, loss of coverage document, birth certificate, etc.)
- Make sure to add a comment on what changes need to be made and press "Submit"
- Then you will see a task that says "Up next "Employee's Name" - Change Benefit Elections".
- Click on "Let's Get Started"
- Click "Manage" under Medical, Dental, or Vision.
- Make the changes you need and click "Save"
- Click "Manage" under anything else you need updated.
- Once you are all set, click "Review and Sign"
- Review your changes you made, scroll to the bottom of the page and click "I accept".
- Then click "Submit" and you are all done.
Any changes you made will be retroactive to the date of the life event that you entered.
They will get dropped on December 31st of the year they turn 26.
- Log into Workday.
- Type in "Manage Absence" in the Workday search bar.
- Find the date you need to correct or cancel and click on it.
- Press "Cancel" to cancel or "Edit" to correct.
- When you are finished, press "Submit"
Personal
- Log into Workday.
- Type in "Change My Home Contact Information".
- Make any necessary changes and click "Submit".
- Log into Workday.
- Type in "Payment Elections" in the Workday search bar.
- First you will click "Add" to add the new bank account.
- Then you will scroll down to "Payment Elections" and click "Edit" by the "Payroll-Regular" section.
- Click the "+" symbol to add a new account.
- Click the "-" symbol to remove an old account.
- You may add multiple accounts if you would like to split payments.
- Once you have made your changes, click "Ok".
- Log into Workday.
- Type in "Withholding Elections" in the Workday search bar.
- Click on which form you would like to update (Federal, State, or Local).
- Scroll to where it says "Update" and click on it.
- Make any necessary updates on the form and click "Ok".
Before you update your legal name in Workday, please make sure you have updated it with the Social Security Administration and have received your new card. Once you done this, here is how you update your legal name in Workday.
- Log into Workday.
- Type in "Change My Legal Name" in the Workday search bar.
- Type in your new legal name.
- Attach supporting documentation for this change.
- Click "Submit".
