Consent to Electronic W-2

Please note that by giving consent, a printed copy will not be mailed. Employees may print the copy that is displayed at any time. IRS regulations require that employees give their consent to receive the W-2 in electronic format. You will only need to give your eConsent once as it will remain in effect until revoked.

Consent can be revoked for future years by checking the non-consent box.

Consent to Electronic W-2's can be found in the Portal.

  • Login to Portal
  • Choose the "Services" drop-down menu
  • Click on "Employment"
  • Under the "W-2" section, click on W2 Electronic Consent.

eConsent Cut Off Time

Electronic W-2s for 2014 will be available online for those who have given their eConsent. Employees who do not give their eConsent by January 23, 2015 will receive a paper copy, which will be mailed by January 30. You will be able to sign up for an electronic version for future years beginning mid-February.

W2 E-mail Notification

You will receive an e-mail (similar to those of your electronic advices) notifying you that your electronic W-2 is prepared and available.

Ending Employment

If you end your employment in the middle of the year and you no longer have access to the Calvin Portal, the Payroll office will create a paper form and mail it to your last known home address. All previous W-2's can be made available through the Payroll office.

If you have consented to an electronic W-2 prior to it being created for you, the page will not reflect any given years to view. You will see a pdf icon, but nothing attached. You will receive an e-mail (similar to those of your electronic advices) notifying you that your electronic W-2 is prepared and available.
